How to use these templates

  1. Pick the simple invoice, the GST tax invoice or the receipt.
  2. Click "Use this template" and describe the job, for example "logo design for Acme Ltd, 12 hours at $60, due in 14 days".
  3. Check the arithmetic: line totals, subtotal, tax and total due. Ask the AI to "recalculate the totals" after any change.
  4. Download as PDF and send it, and keep a copy in a folder for your tax records.

What every invoice needs

  • The word "Invoice", a unique invoice number and the date. Numbering in sequence, such as INV-0001, INV-0002, makes your records easy to audit.
  • Your business name and contact details, and the client's name and billing address.
  • Each item or service on its own line with quantity, rate and amount, then subtotal, tax and the total due.
  • Payment terms and how to pay: due date, bank details or a payment link, and any late fee you agreed in advance.

Frequently asked questions

What is the difference between an invoice and a receipt?

An invoice asks for payment and states what is owed. A receipt confirms that a payment has been made. Send the invoice first, and a receipt once you are paid if the client wants one.

Can I edit the invoice in Excel?

These templates are documents, so they open in Word, Google Docs or Pages. For automatic totals across many invoices, a spreadsheet or accounting tool is better; for a handful a month, a document is quicker.

Should I send invoices as PDF?

Yes. A PDF looks the same on every device and cannot be changed by accident. Keep the Word copy for your next invoice.

What invoice number should I start with?

Any number, as long as each invoice gets a unique one in sequence. Many businesses include the year, such as 2026-001.
